BOOKING TERMS AND CONDITIONS
1.1 These terms and conditions (the “Terms”) and our price list set out the entire agreement between you and Embers Camping (which is the trading name for Eco-campsites Limited) ("we" "us" or "our") for the supply of our services to you. Only these terms shall apply to our contract with you.
1.2 Please check that the details in these terms and conditions and your Booking Request are complete and accurate before you submit your Booking Request.
1.3 By submitting a Booking Request you are deemed to have accepted these terms.
1.4 We reserve the right to change these Terms at any time and any such changes will take effect immediately when posted on the Website, in the brochure, at the Sites, or otherwise brought to your attention.
1.5 In addition to these Terms, you must comply with the Campsite Rules which are posted at our campsite and also available below under Rules.
2 Making a Booking
2.1 You can either book online or via the telephone on 0345 257 2267.
2.2 By making a booking with us you are agreeing to become a member of the Embers Camping Club for the remainder of the calendar year. You agree that £1 of the booking fee will go towards the cost of your membership fee for that period and you agree to abide by the Rules of Embers Camping which you can find below.
2.3 Other benefits of membership of Embers Camping Club are exclusive offers and special events during the year are sent to you via email so that you can be the first to know about them. You may opt out of these communications at anytime by following the “unsubscribe” link in the correspondence.
2.4 Bookings are not transferable to another party.
2.5 When making a booking you agree that you or at least one member of your party is twenty-one (21) years or over, you have the authority of all persons in your party to book on their behalf, you accept these Terms & Conditions and you agree to be responsible for any loss or damage caused by any member of your party.
2.6 Advance bookings may at times be subject to minimum stay periods. These vary by season and please refer to our price list for further details.
2.7 Bookings over the weekend need to be made for at least a Friday and Saturday night and three nights over a bank holiday weekend.
2.8 All sites are to be used for recreational camping only.
You, together with all members of your camping party, are required to comply with the following rules:
3.1 We reserve the right of admission. We only accept responsible campers that are considerate to fellow campers and respectful of the environment.
3.2 General curfew is at 11.30 in the evening
3.3 We are a tent only site. All tents must be non-permanent.
3.4 Love the campsite, leave no trace
3.5 Sleeping in cars or vans is not permitted.
3.6 No caravans, motorhomes or horse boxes are permitted on site.
3.7 No stereos/radios/open air plugged in or electronic music. No bongos or drums.
3.8 No unsupervised youths below the age of 21.
3.9 No hen/stag parties or weddings. Please call for Large bookings.
3.10 No Dogs are allowed at the campsite as we have farm animals such as chickens and rabbits. There are kennels in the nearby area where you can leave your dog overnight and take them on your day trip. Please contact us if you require more information.
3.11 Drunk and disorderly behaviour will not be tolerated. We reserve the right to ask you to leave should this occur. Please book elsewhere if this is your intention.
3.12 We cannot accept responsibility for your possessions or any personal injury sustained while camping or using campfires.
3.13 Check in is from 2pm to 6pm, apart from Friday where check in is until 8pm. Checkout is by 11am. No pitches are reserved and are allocated on a first come, first serve basis unless a Group booking is made.
3.14 Wood for campfires is provided and can be pre paid for or purchased at the campsite office. Please do not collect firewood from the forest.
3.15 You are liable at all times for any wood fires, BBQs and other activities undertaken at the campsite.
4.1 The prices are based on a daily rate unless otherwise stated. Prices include VAT at the current prevailing rate.
4.2 Whilst we will make every effort to ensure that our prices remain unchanged, they may be amended at any time.
4.3 Prices do not include any additional services, features and facilities unless expressly stated.
4.4 Promotions, deals or discounted offers are subject to availability and cannot be used in conjunction with any other offer or discount and may be withdrawn at any time. Retrospective refunds are not permitted against any offer or promotion advertised after such time a booking is made.
5.1 Payment for bookings can be made by Credit, Debit Card and American Express. Unfortunately we cannot accept payment by cheque.
5.2 £1 from your booking fee will go towards the cost of compulsory membership to Embers Camping Club which then permits you access to the campsite.
6 Cancellation and changes to your booking
6.1 If you want to amend your booking, you must notify Embers Camping as soon as possible. Subject to availability and the conditions in 6.2 to 6.4, amendments to your booking can be made less an administration fee of £20. Transferred dates must be within the same booking season.
6.2 30 days or more before arrival date - The booking can be amended or cancelled with a full refund
6.3 29 days to 15 days before arrival date - The booking can be amended or cancelled with a 50% refund
6.4 Less than 15 days before arrival date - The booking cannot be cancelled or amended. In either situation, no refund will be given.
6.5 If we have to cancel your booking we will offer you a full refund of any fees paid or the option of an alternative pitch/site of a comparable standard (with you paying any additional cost or receiving a refund in respect of a price difference). No other compensation is available.
6.6 You must pay any outstanding balance on your booking and any additional fees before pitching.
7.1 Please read this section as it is important that you understand what you are agreeing to
7.2 Nothing in this section limits or attempts to limit our liability for death or personal injury caused by our negligence or for fraud or fraudulent misrepresentation, or for any other matter for which it would be illegal or unlawful for us to exclude or attempt to exclude our liability.
7.3 If we fail to comply with these Terms and Conditions we are responsible for loss or damage you suffer that is a direct and foreseeable result of our failure or our negligence. We shall not be responsible for any losses that you suffer that are indirect or not foreseeable, including, but not limited to, loss of income or revenue, loss of business and loss of anticipated savings.
7.4 Where we are responsible for your loss, our maximum liability shall be no more than to refund the amount paid by you for the holiday.
7.5 As our Site is located in a rural environment, we do not accept responsibility for any damage, injury or inconvenience caused by plants, trees, insects, farm animals or wildlife.
7.6 We do not accept responsibility for anything that adversely affects your holiday that is outside of our control. This will include movement of vehicles where the customer does not abide to the campsite speed limit of 5mph, distracted or negligent whilst driving their vehicle which results in death or personal injury.
7.7 These Terms and Conditions are governed by the laws of England and Wales.
